Demonstrates knowledge in a specialized area of research administration; performs reviews on proposal submission and sets up awards for conformance with established standards and procedures; assists in the development of methods for improving efficiency; coordinates research administration details between researchers, sponsors, and administrative offices; ensures progress on assigned projects and functions of the unit. In addition, this position supports the Academic and Research Environmental Health and Safety (AREHS)/Risk Management and Compliance areas with compliance reviews of contracts, events, and alcohol requests; performs international travel risk assessments and provides mitigation recommendations; reviews and responds to public information requests to include information gathering and assessment for information releases; reviews and drafts university rules and procedures in accordance with Texas A&M University policies and regulations; assists with implementation and documentation of payment card industry compliance related obligations; manages compliance calendar; works directly with AVP for Risk and Compliance to manage records retention process; and assists in other risk related functions as needed.Responsibilities:SRS grant records maintenance, compliance and SRS office operations Reviews transactions, proposal submissions, award documents and procedures in conjunction with the director or contract specialist in the Office of Sponsored Research Services, to assure compliance with federal and state regulations and internal controls. Updates and maintains e-files, hard copy files, Maestro (software) and supports office operations, including purchasing, budget review, travel, and inventory of equipment. Participates and represents assigned System member in meetings as needed. Implements procedures, plans and develops operational and administrative procedures and processes, and provides guidance regarding procedures and policies. Prepares documentation to enter award terms, financial or other information in accounting and research administration or other systems, including budget, revenue, regulations, billing requirements, facilities and administrative cost distribution, cost-sharing commitments and reporting requirements. Works with sponsors for revisions and approvals which include budget revisions, compliance issues, change of Principal Investigator, time extensions, additional funds requests, and related tasks. Facilitates the finding of funding sources for principal investigators, supports proposal development and award submission for grants and sponsored research.AREHS/Risk Management Reviews contracts, special events, and alcohol requests for risk related obligations and works with event/contract coordinators to obtain appropriate licensure and insurance. Reviews international travel requests for known travel risks and ensures travel requests adherer to travel procedures; works with travelers to obtain travel related insurance and elevates high risk travel to the AVP Risk and Compliance for review. Reviews requests for public information for compliance with applicable regulations and laws; communicates with requestors through state portal to identify responsive records; identifies responsive areas on campus and collaborates with university departments to gather potentially responsive data; reviews submitted data and recommends redactions/withholdings per regulatory criteria; documents justifications for redactions/withholdings and justifications for charges associated with the requests; submits final approved records for release through the state public records portal. Per System regulations and policy, works with university departments to update or revise university rules and procedures; works with System Office of General Counsel to obtain approval of proposed rules and procedures; posts approved rules and procedures to university website. Works with university security team regarding payment card industry (PCI) compliance and assists in annual review and report of PCI compliance. Reviews records destruction requests for destruction classification and provide guidance regarding retention and destruction of state records; assists in annual review of records retention program.*Other duties as assigned.Necessary Qualifications:

  • Bachelors degree in applicable field or equivalent combination of education and experience
  • Three years of related experience in research administration, research project management, research proposal preparation or similar project management with contracts, grants or multi-faceted, multidisciplinary or center grant or project work.
  • Knowledge of computers and basic office equipment.
  • Knowledge of word processing and spreadsheet applications.
  • Experience with financial and other types of database applications.
  • Knowledge of budgeting and accounting practices.Preferred Qualifications:
    • Experience at an institution of higher education.
    • Knowledge of grant, contract and sponsored research compliance.
